Date protection complaints policy

Footprints Footcare Data Protection Complaints Policy

1. Introduction & Scope

Footprints Footcare is committed to protecting the personal data we process. This policy outlines how data subjects (individuals whose data we process) can raise a complaint about how their personal information has been handled, their privacy rights have been respected, or their data subject access requests (DSARs) have been managed.

2. How to Make a Complaint

If you believe your personal data has been mishandled, you may submit a formal complaint to the address below:

By Email: footprintsfootcare23@gmail.com

Please Include:

  • Your full name and contact details.

  • Any relevant case or reference number (if applicable).

  • A clear, simple description of your complaint and the effect it has had on you.

3. Our Complaints Procedure

Once we receive your complaint, we will manage the process in accordance with regulatory guidelines:

  1. Acknowledgment: We will acknowledge receipt of your complaint in writing, typically within 5 working days. [

  2. Investigation: The Data Protection Officer (DPO) or an appointed investigator will review supporting evidence, conduct internal enquiries, and assess the claim against relevant data protection legislation.

  3. Resolution: We will inform you of the outcome of our investigation without undue delay. This will generally happen within 30 days of receiving your complaint. If we require more time (e.g., for complex cases), we will notify you and explain the delay.

4. Outcomes

Upon completion of the investigation, you will be notified in writing whether your complaint has been upheld, partly upheld, or not upheld. If upheld, we will outline the corrective actions, recommendations, or procedural changes being implemented to resolve the issue.

5. Right to External Review

If you remain dissatisfied with our final response, you have the right to refer the matter to your local data protection supervisory authority. This is the Information Commissioner's Office (ICO).

6. Review

This policy will be reviewed and updated regularly to ensure continued compliance with evolving data protection legislation.
